Buyer's Guide

How To Choose An AI Receptionist In NZ

An honest guide to picking the right provider, including the questions that make salespeople squirm. Yes, ask us these too.

Why this guide exists

AI receptionists went from science fiction to mainstream in about two years, and the market is now crowded with providers of wildly different quality, from genuinely excellent to a chatbot with a phone number. The differences aren't visible on pricing pages. This guide gives you the eight questions that actually separate them, based on what we've learned building AlwaysAnswer and what NZ businesses tell us went wrong with other providers.

We're obviously not neutral, we're one of the options. So we've written questions you should ask everyoneincluding us. If any provider can't answer these cleanly, keep looking.

The eight questions that matter

How fast does it actually answer?

Anything past three rings loses callers. Ask for a live demonstration, on your industry's kind of call, not a canned demo.

Does it sound local?

Overseas-accented or robotic voices cost trust instantly in NZ. Listen to the actual voices before signing anything.

What happens to calls it can't handle?

There must be a clear escalation path to a human, you. If a provider claims the AI handles literally everything, that's a red flag, not a feature.

Can it book, or just take messages?

Message-taking is barely better than voicemail. Real value starts when the AI books appointments into your calendar and confirms by SMS.

Where does my callers' data go?

Ask which country the data is processed in and whether they operate under the NZ Privacy Act 2020. Vague answers here should end the conversation.

What's the real total cost?

Watch for per-call and per-minute charges that turn a cheap headline price into an expensive month. Flat monthly pricing is easier to budget and harder to game.

Is there a lock-in?

Month-to-month options show confidence in the product. Long lock-ins with no trial should make you ask why they need to trap you.

Who fixes it when something's off?

Your business changes, prices, staff, services. Ask who updates your configuration, how fast, and whether it costs extra.

The bottom line

A good AI receptionist should be judged on one thing: does it win you work you were losing? Everything else, the tech, the dashboard, the buzzwords, is decoration. Ask for a demo on your industry's actual calls, check the escalation path, confirm the data handling, and pick whoever answers those questions most honestly.
